Position Summary
To assist the Director of Campus Safety in coordinating, executing, and maintaining all functions related to Campus Safety. To provide administrative support for the Director of Residence Life and the management of the front desk area of the Department of Campus Safety and Office of Residence Life.
Description of Key Responsibilities
Note that all functions described below must be performed, and it is normally the responsibility of the individual in this position to perform them and/or see that they are performed.

1. Oversee the selection, training, scheduling, evaluation and general supervision of student workers for the Department of Campus Safety and Residence Life for the positions of Front Desk, Switchboard and Shuttle Driver. These tasks include typing/word processing, copying, filing, Colleague entry, distribution of parking permits, answering phones, certifying drivers and operating a large passenger van.
2. Provide administrative and related support, as directed by the Director of Campus Safety to the Director of Campus Safety and Director of Residence Life. (i.e. incident report processing, expense reports and receipts, purchase orders)
3. Ensure that office supply inventories are maintained using the College purchasing system as appropriate, and that equipment - including copy machines and ID printers - are properly maintained.
4. Utilize the College's programs (i.e. Colleague, Informer, CROA, Merlin, etc.) to perform various administrative duties. Provide reports and information to assist with the day to day operation and strategic planning within Campus Safety and Residence Life. Responsible for the approval of reservations for the New Hall conference room.
5. Perform account management duties for the Department of Campus Safety and Office of Residence Life. Process charges and (corresponding filing) to students for parking related fees, ID replacements, and residence hall damages.
6. Assist with designing, assembling, preparing and disseminating information and publications to be used for brochures or web presence for the Department of Campus Safety.
7. Participate in the development of systems and procedures, which contribute to the efficient operation of the office, while maintaining confidentiality.

An individual in this position must possess the proficiency, wherewithal and knowledge of principles and processes for providing high-quality customer and personal services to both internal and external customers of the College.

1. Ability to accurately process and organize large amounts of information and data within prescribed time frames. Ability to deal with a number of tasks concurrently, in an environment when interruptions are routinely experienced, at times without direct supervision. This requires a person who is well organized, detail oriented, flexible and able to efficiently establish priorities.
2. Ability to supervise student workers, including selection, training, and scheduling, and assigning, monitoring and evaluating work.
3. Ability to apply general administrative skills such as typing, creation and maintenance of files, and the use of business-oriented computer systems, including word processing, database management and spreadsheets.
4. Ability to consistently demonstrate excellent customer service and interpersonal skills in dealing with persons both internal and external to the College, electronically, on the telephone and in person. In particular, the ability to relate in a caring manner to students and families from a broad range of backgrounds, both in group situations and individually.
5. Ability to effectively utilize business-oriented software applications including e-mail, word processing, spreadsheet applications and web browser. Ability to become proficient in databases and software required such as: Colleague, Maxient, Merlin, CROA, etc.
6. Knowledge of the organization and operation of the College, both administratively and academically.
7. Ability to communicate in the English language, both orally and in writing, in a manner consistent with professional standards, including the ability to deliver effective oral presentations, develop promotional materials that are attention-getting and persuasive, and prepare reports that are accurate, thorough yet concise, and professionally formatted.
8. Ability to work effectively as a member of a staff where cooperation and teamwork are essential.
9. Ability to prepare reports which are accurate, thorough yet concise, and professionally formatted, including the application of mathematical skills necessary for compiling, summarizing and analyzing data.
Distinguishing Characteristics
The person in this position interacts on a regular basis with students, parents and College personnel, both in person, electronically, and on the telephone. When a problem, conflict or concern occurs, this person is often the initial contact for students and parents, and is responsible for ensuring that good relations are maintained, questions are answered and the appropriate supervisor/office is notified. Much of the information dealt with by this person is of a personal and confidential nature. The ability to exercise discretion and to adhere to legally required constraints and specific College policies regarding release of information is essential.

This position requires the ability to be involved with multiple activities concurrently, to continually monitor their status, to manage the work of others, and to prioritize activities so that deadlines are met and overall office effectiveness is maximized.
Education/Training
A high school diploma is required. Some college or community college-level training is preferred.
Experience
At least two years of experience in an office environment, particularly where dealing directly with the public is involved.
Licenses or Certifications
A valid driver's license is preferred.
