The Document Control Specialist is responsible for the proper scanning, indexing, filing, organization and dissemination of Company files for the Land Administration department. The position requires a high degree of self-direction and motivation, organization and prioritization skills, computer proficiency, and the ability to work in a dynamic, team-oriented environment.
ESSENTIAL DUTIES AND RESPONSIBILITIES
  • File all documents, correspondence, reports etc. in accordance with established filing system
  • Set up new file folders with proper labels identifying the file property
  • Pull expired files and prepare per retention policy
  • Reorganize files on shelves to allow for proper placement of new files
  • Scan, index and upload physical documents and files into a document management system
  • Make copies of documents/files as required or requested
  • Perform routine office duties which include composition of correspondence, mail, copying, scanning and filing
  • Perform any other duties assigned or required to meet objectives of position
SKILLS AND EXPERIENCE
  • Proficiency in Microsoft Office required, with emphasis on Excel and Word
  • Must be goal oriented, approaching projects with a sense of urgency and drive
  • Must be detail oriented with the ability to multi-task with attention to accuracy
  • Must be a team player who possesses the ability to adapt to new technologies, workflows and processes
  • Working knowledge of land management software systems, such as Tobin Land System or P2 Land
  • Ability to adapt and work within a Document Management System

WORKING CONDITIONS AND PHYSICAL DEMAND
Work is typically performed indoors in an office environment. Incumbents must be able to perform work which includes typing, sitting and standing. In the event that incumbent visits operations worksite, personal protection equipment, including head protection, hearing protection, safety glasses, safety s hoes, and flame resistant clothing is required. Safety rules including OSHA and DOT requirements are strictly enforced. Employees must be willing to travel and work extended hours on short notice.
