Receptionist and Staff Support

Job Summary:

Attend to visitors and deal with inquiries on the phone and face to face. Supply information regarding the organization to the general public, clients and customers. Assist the Facilities Business Unit.

Essential Duties / Responsibilities:

  • Answer telephones, screen and direct calls
  • Take and relay messages
  • Provide information to callers
  • Greet persons entering the facilities
  • Direct persons to correct destination/building
  • Monitor and maintain visitor access and maintain security awareness
  • Produce access badges per company policies while maintaining the data base
  • Provide general administrative and clerical support to Facilities
  • Produce Purchase Requests (PR's) within NRG's SAP platform
  • Reconcile PO's and invoices for approval in SAP
  • Prepare correspondence and documents
  • Shedule appointments for Facilities
  • Control inventory relevant to reception area and security badges
  • Enter information onto a secured share site per security badge policy
  • Maintain 'Visitor' and 'Employee' sign in sheets
  • Maintain cleanliness and organization of the reception area
  • Call in repair requests to building owner and approved contractors
  • Maintain confidentiality and show discretion
  • Adhere to company policies and procedures
  • Represent organization in an ethical and professional manner
  • Maintain a complete knowledge of organizational structure, personnel names and titles

Working Conditions:

  • Office environment
  • Some overtime required if special projects arise
  • On-Site 5 days per week

Minimum Requirements:

  • High School Diploma/GED
  • Two (2) years' of relevant office experience

Preferred Qualifications:

  • Bachelor's degree from an accredited four (4) year college/university

Additional Knowledge, Skills and Abilities:

  • Exceptional verbal and written communication skills
  • Professional personal presentation
  • Knowledge of administrative and clerical procedures
  • Excellent keyboard skills knowledge of computers and relevant software applications: Power Point, SAP, Microsoft Office, Excel
  • Knowledge of customer service principles and practices
  • Information management and organizing/planning
  • Close attention to detail
  • The ability to show initiative, reliability, and a stress tolerance

PHYSICAL REQUIREMENTS:

  • Sedentary / Light work: Exerting up to 20 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sitting, walking and standing are required.
