Responsibilities involve the coordination and supervision of the various functions and aspects of a department as well as the monitoring operational procedures. Work is performed under general supervision with evaluation based on results obtained. May supervise staff or student assistants.

Major/Essential Functions

* Supervision/ coordination of clerical staff at the John T. Montford Psychiatric Unit.
* Coordinates the collection, entry, and dissemination of database information and special reports (daily, weekly, monthly, and annual) for the John T. Montford Psychiatric Facility and coordinates with TDCJ, TTUHSC, and Managed Health Care administrative personnel to provide statistical data necessary for completion of auditing and accreditation documentation.
* Maintain written and oral communication and correspondence with administration and department heads on issues pertaining to administrative support staff.
* Participates in meetings, including Regional Management Team, and/or committees as needed to represent the clerical department. Conducts regularly scheduled staff meetings to disseminate pertinent information obtained through other meetings and/or committees. Coordinates mandatory training to meet applicable state laws, policies, regulations and national standards.
* Coordinate discharge paperwork facilitating the process for offender transport through local and State authorities. Coordinates with TDCJ, TTUHSC, and Managed Care administrative personnel as to the status of unit discharges. Oversee clerical support for civil commitment process.
* Call Schedules: Organizes and distributes the daily psychiatric call schedules for both in-house and regional coverage. Coordinates with Mental Health Director and regional psychiatric / mid-level staff to ensure adequate coverage. Maintains communication with staff at local and regional units to adjust coverage schedule as necessary.
* Uploads time clock entries into the Banner/payroll system. Ensures accountability of records for timekeeping for administrative support staff.
* Coordinates monthly and bi-monthly meetings for management and clinical staff within the TTUHSC region and may include staff of TDCJ and UTMB. This involves scheduling of meetings, collection of and distribution of reports for meeting, as well as recording and maintaining meeting minutes.

Required Qualifications

Bachelor's degree plus two (2) years related experience; OR a combination of education and/or progressively responsible related experience to equal six (6) years.

Preferred Qualifications

Position requires a person who is organized, and who is able to work efficiently and effectively in a complex environment and with multiple tasks. Ability to give, understand and follow oral instructions; establish effective working relationships with supervisors, subordinates and co-workers; and ability to work under moderate to limited supervision without difficulty. Supervisory, prioritization, computer, record keeping and management skills are essential. Ability to plan and organize projects, ability to make sound decisions, and work effectively under stressful situations is required. Ability to effectively communicate with written and verbal language skills. Must be able to apply problem-solving skills and to rationalize. Must be organized, able to multi-task. Must be able to follow instructions and to provide instructions to others. Must have strong computer skills.
