Summary of Responsibilities

The Assistant Director will divide time between stewarding current and past donors and leading the solicitation of high-end annual gifts ($500 to $50,000), in support of the School of Medicine from alumni, current and former faculty and house staff, and friends. Working with senior development staff members, faculty and administrators, he or she will implement the stewardship functions of the School of Medicine's stewardship program as well as identify, strategize, cultivate, solicit and steward a portfolio of prospects, completing discovery and visits, solicitation calls, and stewardship touches.

STEWARDSHIP
  • Maintain and update Access database and ALADIN to ensure all information related to the SOM's scholarship program is accurate.
  • Maintain a listing of all SOM scholarship funds-current and future, including detailed preferences and restrictions as indicated by donor and accompanying fund documentation.
  • Provide the Office of Financial Aid each year with a listing of each stewarded scholarship, along with any newly created scholarships, including a description of each scholarship, account information, and donor information.
  • Draft the annual letter from the Associate Dean of Student Affairs that will announce the student recipient(s) to the donors.
  • Work with the Financial Aid Office to compile the student thank you letters for each stewarded scholarship.
  • Manage the compilation, scanning, and mailing of associate dean's letters to benefactors, along with the student thank you letters and financial reports.
  • Assist with the planning and execution of the annual scholarship reception, including print materials, donor guest list and recipient attendance, photography, and event logistics as necessary.
  • Work with SOM IT team to update the Access Database with recipient award information.
  • Annually review list of scholarships in SOM Catalog in partnership with the Offices of Financial Aid and the Registrar.
  • Manage scholarship stewardship for Art as Applied to Medicine and MD-PhD programs.


DEVELOPMENT
  • Develop an understanding and keen ability to accurately verbalize the mission of the School of Medicine and its components. Articulate the need for support of the School of Medicine for unrestricted funds and priority needs.
  • Manage a personal portfolio of high-end annual giving prospects of individuals and foundations ($2,500 to $25,000), engaging them as appropriate, whether via discovery, cultivation, solicitation, or stewardship visits.
  • Work closely with the Sr. Director to identify and qualify new prospects, and build a prospect pool based on new prospects and past donors beginning at the $500 + gift level. Initiate gift strategies cultivates, and solicit prospects through personal visits, phone calls, and written communication.
  • Manage and execute a comprehensive program to solicit, upgrade and steward donors who are capable of giving at the $500+ level. This will include, but not be limited to, the Prospect Pipeline project.
  • Manage the Department's annual giving program and efforts, acting as the liaison between the Office of Medical Annual Giving and the Department. Develops and implements specific annual giving mail/e-mail programs that cultivate and solicit unrestricted gifts. Coordinates the production process of direct mail and phonathon with the Office of Annual Giving (OAG) and the Office of Medical Annual Giving (OMAG). Drafts corresponding materials and tracks results; develops a departmental plan for increasing funds raised and donors acquired through annual giving mailings. Coordinates semi-annual pledge reminder process.
  • Manage all special mailings such as birthday/special occasion cards, annual Thanksgiving and Holiday Card program, and pertinent announcements.
  • Annually update the SOM "Fast Facts" document with pertinent admissions and financial aid dates.
  • Coordinate and implement an effective strategy for the School of Medicine acknowledgments process. This includes ensuring that all gifts and gift commitments to the School of Medicine are thanked by the appropriate staff and faculty, ensuring that all gifts received "in honor of" or "in memory of" are properly acknowledged and family and/or friends are kept up to date, and that sympathy letters are sent when appropriate.
  • Attend Donor Relations Liaison Group (DRLG) and other related meetings and report to SOM team on applicable topics.
  • Other duties as assigned.


Minimum Qualifications
  • Bachelor's degree
  • Two years related experience
  • Additional graduate level education may substitute for required experience, to the extent permitted by the JHU equivalency formula


Preferred Qualifications
  • Ability to work independently, manage projects and determine priorities, and to maintain a high degree of professionalism and confidentiality
  • Ability to work with broadly diverse groups of constituents to achieve fundraising goals including donors, alumni, faculty, department chairman, hospital and university administration, fundraising colleagues, and institutional leadership
  • Strong interpersonal skills and ability to work as part of a team
  • Excellent writing, editorial, and verbal communication skills
  • Strong organizational skills required and the ability to manage more than one project simultaneously
  • Strong computer literacy skills are required and the ability to learn new software. Specifically, Word, Excel, PowerPoint and Outlook.
  • Ability to work in a dynamic, fast-paced environment
  • Availability to work some nights and weekends, as needed
  • Travel required
