Credentialing Coordinator
The Pathology Department is seeking a Credentialing Coordinator to work in their high-volume Pathology Training Office under the direction of the Medical Training Program Manager and Residency Program Directors. In this role, you will be responsible for credentialing, visas, and onboarding activities related to Residents, Clinical Fellowships, Research fellowships, Observers, Rotators, and Undergraduate Trainees.

Provides administrative support to Medical Training Program Manager, Residency Program Directors, Chief Residents and Housestaff. Coordinates activities with Pathology Training Program to ensure a successful residency program and clinical fellowship programs. Learns to exercise independent judgment in the resolution of problems, prioritizing of workload. Accountable for standards of service excellence; including but not limited to trainee/customer phone inquiries or interpersonal relations; communication with Pathology administration and other offices (including Registrar, GME, International, Medical Staff office) along with outside institutional offices. Serves as a liaison between training program office and contacts throughout Pathology and the School of Medicine.

Specific Duties & Responsibilities
  • Assist with coordinating Intern Orientation and Welcome Reception.
  • Assist with coordinating Wellness events/activities.
  • Assist with scheduling, organizing, and monitoring Residency interview days (October - January).
  • Assist with organizing Awards Presentation and Awards Dinner.
  • Attend meetings within assigned divisions.
  • Maintain confidentiality of documents and files.
  • Continuing Education Credits (10 hours required annually)
  • Other tasks as needed.


Special Knowledge, Skills & Abilities
  • Proficient in MS Office (Work, Excel, PowerPoint), and Outlook. Adobe experience preferred.
  • Ability to handle multiple tasks and prioritize, attention to detail and follow-up.
  • Knowledge of SAP desired.
  • Good organizational skills.
  • Ability to work with a team and independently.


Work Environment
  • While performing the duties of this job, the employee may remain in a stationary position (sitting and standing) up to 70% of the time.
  • May be required to traverse throughout the office and various buildings for events or to retrieve or deliver supplies, documents, or other materials from other locations on campus.
  • During peak program times, additional walking may be required.
  • The employee is required to operate computer keyboard frequently throughout the day and viewing computer screen for prolonged periods.
  • May transport equipment and supplies usually less than 40 pounds from one area to another (in the office or on campus). In some areas, workspace is confined.
  • Staff are required to complete annual competency review, and must ensure compliance with Hospital Policy, Health, Safety & Environment regulations, and all applicable privacy & confidentiality laws/practices.
  • During peak program times (May-July) and (October-January) work deadlines are critical - leave during these times may be less flexible and the employee in this position may at times be required to work additional hours if approved by supervisor to meet business needs. No recruitment activities are scheduled during Thanksgiving week or between December 20-January 2.


Minimum Qualifications
  • High School Diploma or graduation equivalent.
  • Three years related experience.
  • Additional education may substitute for some required experience to the extent permitted by the JHU equivalency formula.


Preferred Qualifications
  • College coursework, AS or BS Degree preferred.
  • Experience working in support of medical professionals in a clinical and/or academic environment, strongly desired.
  • Previous experience working with Pathology or similar healthcare or research environment, helpful.

Role/Level/Range: ATO 40/E/03/OE
Starting Hourly Pay Rate Range: $17.95-$32.60 ($25.52 budgeted; Commensurate with experience)
Employee group: Full Time
Schedule: M-F, 8:00am-4:30pm (flexible start/end times)

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.
