If so, we're looking for someone like you to join our group administrative team in the Ocean Systems and Engineering Group at APL!

As the administrative assistant for the Ocean Systems and Engineering Group, you will have the opportunity to apply your administrative experience to a diverse and energetic engineering team that delivers solutions to our national security sponsors. You will play an active role in purchasing, reimbursing travel, shipments, and group communications.

As an Engineering Group Administrative Assistant, you will...

  • Manage the group office including the purchasing and reconciling of laboratory equipment, materials, and supplies; processing travel reimbursements.
  • Collect and catalog documentation for field tests and engineering test events.
  • Provide grammatical and formatting reviews of technical documents and engineering memos.
  • Independently initiate administrative efforts to resolve any issues regarding in and outbound logistics, shipping authorizations, and travel for our field support teams.
  • Contribute to group security processes to ensure all relevant procedures are followed for the safe handling of classified information.
  • Work with our engineering teams to purchase lab equipment and supplies.
  • Ensure clearances are processed for our staff's travel to government facilities.
  • Lead property audits as the group property administrator.
  • Partner with other administrative staff to work as a seamless team across our engineering groups including backfill and sharing of workload.

Qualifications

You meet our minimum qualifications for the job if you...

  • Possess an Associate degree or equivalent year of experience, with a minimum of 5 years of relevant administrative support experience.
  • Have an ability to work on complex and multiple administrative and program tasks independently with little supervision.
  • Have a willingness to take on additional work and challenges to develop new skills.
  • Are proficient in the MS Office suite in order to produce high-quality documents, spreadsheets and presentations.
  • Are capable of demonstrating independent judgment, interacting and communicating effectively with engineering teams and external contractors.
  • Can pro-actively initiate, manage, and lead administrative tasking.
  • Are able to obtain Interim Secret level security clearance by your start date and can ultimately obtain Secret level clearance. If selected, you will be subject to a government security clearance investigation and must meet the requirements for access to classified information. Eligibility requirements include U.S. citizenship.

You'll go above and beyond our minimum requirements if you...

  • Hold a BA/BS degree or equivalent level of experience.
  • Have prior experience with APL-specific Practices and Procedures, software, and databases (e.g. ADDIT, RMIS, EBSS, etc.).
