Overview

POSITION SUMMARY:

Under the general direction of the Assoc Director Clinical Research Revenue Recovery & Billing or designee, the Senior Clinical Research Operations Analyst is responsible for various operational functions associated with timely, compliant support of UMMS clinical research activities.



Responsibilities

ESSENTIAL FUNCTIONS:

Clinical Research Management System (CTMS) - Operations

    Responsible for the analysis, creation and maintenance of complex clinical research protocols, budgets and contract amendments within the CTMS.
  • Collaborates with CCTS senior staff and OCR staff as needed to provide on-going review and analysis ensuring operational compliance and consistency across clinical research protocols.
  • Leads the analysis of study calendar revisions within the CTMS that impact invoicing and revenue recovery, acting as a liaison with calendar build external contractors as needed.
  • Oversees analysis of CTMS data to ensure complete and accurate capture of relevant information.
  • Collaborates with other internal departments to ensure appropriate, detailed review and analysis of budget amendments, study subject data entry and visit information in order to facilitate accurate billing/invoicing.
  • Responsible for completion of special tasks and projects that support the CTMS application footprint, inclusive of upgrade project tasks and testing.
  • Responsible for maintaining clinical research charge master files within the CTMS.
  • Ensures timely completion of CTMS information in all tracking systems.

Clinical Research Revenue Recovery

  • Analyzes, reviews and monitors clinical research revenue recovery for all assigned protocols utilizing the CTMS to generate invoices to external sponsors.
  • Responsible for the detailed review and reconciliation of assigned accounts receivable information with all relevant UMMS finance departments/divisions.
  • Analyzes, interprets and resolves account balance discrepancies between sponsors and UMMS.
  • Reviews, verifies and signs off on all assigned submitted clinical research account closure requests.

Clinical Research Billing

  • Implements and monitors assigned relevant compliance program components (such as Medicare cost coverage analysis, billing grids, study calendars and budgets.)
  • Responsible for the identification, implementation, application and maintenance of relevant federal and state regulations and local policies.

  • Actively participates with clinical partners providing regular information necessary to facilitate UMMS/UMMHC clinical research.

Education & Reporting

  • Oversees relevant tasks within the TRACs intake portal, interpreting requests, ensuring timely completion and accurate tracking.
  • Maintains internal reporting systems, providing analysis and metrics to senior management ensuring that metrics are captured in an accurate and timely manner.
  • Based on review and evaluation of program, develops, and maintains curriculum training materials, job aids, SOPs, and policies.
  • Delivers relevant training and orientation to clinical research staff/faculty.


Qualifications

REQUIRED QUALIFICATIONS:

  • Bachelor's Degree in a related field, or equivalent experience
  • Minimum 5 years of experience in a clinical research environment within a healthcare or academic organization.
  • Minimum 2-3 years work-related experience required in a supervisory/management role and
  • Must have the ability to work closely and effectively with a diverse group of administrators, strong interpersonal and leadership skills.
  • Strong knowledge and understanding of federal, state regulation and guidance related to clinical research, specifically federal clinical research billing requirements.
  • Strong analytical, computer and software skills.


Additional Information

PREFERRED QUALIFICATIONS:

  • OnCore & EPIC experience strongly preferred.
  • Experience working with clinical trial invoicing/financials preferred
  • Certification in clinical research (CIP, SOCRA, ACRP or equivalent)
  • OnCore Financial and Management Certifications preferred.
