General Information:

The Center for Global Engagement (CGE) is hiring a part-time Office Specialist to work with the International Student & Scholar Services (ISSS) team. ISSS provides services, resources, and assistance to meet visa and immigration needs for students, scholars, and staff, as well as programs to enhance their experience at JMU. Additionally, ISSS offers educational programs for the entire campus community. The ISSS Office Specialist plays a critical role in the delivery of these services, whether through direct or indirect support.

This is a part-time position that works an average of 29 hours per week.

Duties and Responsibilities:

--General Office Assistance:
*Greet visitors and direct them to the appropriate staff members, in conjunction with the Administrative Assistant for CGE (front desk)
*Assistant students who come to the office to sign up for ISSS activities
*Make photocopies of immigration paperwork as needed
*Manage ISSS general email account and calendar
*Prepare work orders as required
*Submit transportation requests
*Produce mailing labels as needed
*Assist in the hiring process of administrative staff and departmental student assistants
*Other tasks as assigned

--Financial:
*Order supplies and manage eVA purchases
*Process office accounting vouchers and check requests
*Complete travel authorizations and travel reimbursements for ISSS staff
*Complete ePAR requests for GA, LINKers, and other staff as needed
*Complete monthly reports on procurement cards for ISSS staff, as needed

--Health Insurance:
*Maintain records regarding health insurance coverage for all international students
*Communicate with appropriate JMU departments regarding the payment of health insurance premiums to CISI
*Serve as liaison to CISI for all health insurance issues
*Assist students with questions regarding the CISI plan, including the filing of claims, coverage issues, and provide information regarding access to their insurance card and use of the CISI website
*Process Health Insurance waiver forms in TerraDotta, with appropriate communications with applicants
*Track student insurance payments and submit status reports to Director of Program Operations

--Student Records
*Maintain and monitor student records, double-checking for accuracy and updating as needed
*Maintain student scholarship records, and submit scholarship paperwork as needed
*Place service indicator/s on student records
*Communication with UBO to charge the health insurance fee and international admin fee on student accounts

--Website Maintenance
*Maintain existing ISSS website
*Periodically update photographs on ISSS website
*Work with staff to update content as needed
*Maintain events calendar on ISSS website

--Student Programming
*Work with ISSS staff and student workers on student programming
*Assist with planning and coordination of ISSS major programs (i.e. Orientation, I-Week, Thanksgiving, Lawn Party, etc.)
*Assist with monthly student activities and events: help plan activities, recruit students, and participate in activities; schedule meetings; reserve space for meetings and events; submit catering requests

Qualifications:

-Excellent customer service skills, both over the telephone and face-to-face.
-Ability to organize, prioritize and perform tasks independently and collaboratively.
-Detail-oriented and ability to work with a high degree of accuracy.
-Excellent oral and written communication skills.
-Demonstrate professionalism and ability to maintain confidentiality.
-Fluency with internet-based applications, Windows and Microsoft Office with a particular focus on Word and Excel.
-Cultural awareness and ability to work with a diverse group of people.

Conditions of Employment:

Employment is contingent upon the successful completion of a criminal background check.

This is a part-time wage position working up to an average of 29 hours per week over the course of a calendar year with no benefits.
