Overview / Job Summary:

The Grants Specialist works with the Director of Grants Management to procure and implement grants in support of the College's mission and strategic initiatives. This role works alongside project directors, project managers, principal investigators, finance and compliance staff throughout both pre- and post-award grant activities. This role assures that all activities related to researching, securing, and monitoring grant-funded projects are performed consistent with internal and external processes while ensuring the department's outcomes are achieved. The position requires excellent critical thinking, time management, project management, verbal and written communication skills, post-award compliance best practices, and the ability to work well under pressure in a fast-paced, deadline-driven environment.

Your day-to-day responsibilities will vary, but are not limited to:

Project Management and Oversight:

  • Lead and manage a team of project managers responsible for grant execution, ensuring timely completion and adherence to project goals and budgets.
  • Develop and maintain project dashboards to track grant progress, identify potential issues, and facilitate informed decision-making.
  • Conduct regular meetings with project managers and principal investigators, providing guidance and ensuring effective communication within the grant team.
  • Monitor grant-funded projects throughout the year, proactively identifying and addressing compliance concerns.


Grant Administration and Compliance:

  • Develop and maintain a solid working knowledge of government and non-government funding programs and their associated terms and conditions.
  • Develop and maintain expertise in grant compliance regulations, including research administration, conflict of interest, and effort reporting.
  • Ensure grant activities comply with institutional and federal regulations, collaborating with the Director of Grants Management and the Office of Sponsored Projects team.
  • Review complex grant requirements and exercise independent judgment to identify potential issues and ensure proper project conduct.
  • Assist with the preparation and submission of grant applications, renewals, modifications, and reports.


Communication and Documentation:

  • Lead and facilitate effective meetings, ensuring clear communication and clear action items documented in detailed minutes.
  • Develop and maintain grant dashboards, meeting agendas, meeting minutes, reporting templates, and Microsoft Office-based documents.
  • Educate WSU Tech stakeholders on funding agency expectations, reporting requirements, and proper grant fund expenditure procedures.


As the Grants Specialist, they will ensure current knowledge of grant administration through professional development, use technology to optimize grant workflows and task management, and maintain essential records, files, reports, and resource materials for all grant activities. Additionally, perform other duties as assigned by the Director of Grants Management.

Education:

  • A bachelor's degree in business administration, public administration, non-profit management, or a related field, or an equivalent combination of education and experience, with at least 4 years of experience required.


Required Qualifications:

  • Intermediate proficiency in Microsoft Office: Excel, Outlook, Word, and Adobe Acrobat required. Experience with creating and maintaining dashboards using these tools is essential.
  • Strong critical thinking, data analysis, time management, and schedule management skills required.
  • Strong organizational skills with the ability to prioritize tasks based on information received through various channels (e.g., email, project management tools, meetings, etc.)
  • Excellent oral and written communication skills and interpersonal skills required; must demonstrate the ability to effectively and professionally communicate and work with various individuals from a broad spectrum of disciplines, technical and educational backgrounds.


Preferred Qualifications:

  • Project management and data analysis experience; preferred.
  • Grant Professionals Certification; preferred.
  • Strong understanding of compliance requirements for grant-funded projects and a commitment to ensuring grant compliance through adherence to all applicable policies and legislation.
  • Excellent facilitation and meeting management skills, ensuring clear communication and documented action items.


Additional Requirements:

  • Familiarity with technology solutions to streamline workflows and manage tasks effectively.
  • Commitment to maintaining up-to-date knowledge and skills applicable to sponsored project activity through continuous learning and professional development.
  • Proficiency in creating and maintaining grant dashboards, meeting agendas, minutes, reports, and other grant-related documents.
  • Strong organizational skills with the ability to prioritize tasks and manage multiple deadlines effectively.
  • Ability to analyze data and translate findings into actionable insights for project management.
  • Ability to work independently and in a team environment.
