Job Summary

The California Preterm Birth Initiative (PTBi-CA) is seeking an Executive Program Coordinator to oversee daily operations and provide overall project coordination for several projects housed within the PTBi-CA aims. They will be
responsible for providing research, operations/fiscal, and administrative support for multiple studies and
programs. This position is expected to function as an integral part of a professional team in a fast-paced
environment and to facilitate the smooth flow of work, ensuring accountability for all administrative needs for
the unit. As directed by the Program Director, this position will also work on special projects or assignments with
professionalism and discretion. They will work on issues where analysis of situation or data requires review of
relevant factors. They will exercise sound judgement in selecting the optimal methods, techniques and criteria
necessary for achieving the desired results. The individual will identify risks and respond accordingly. They will
set priorities and evaluates work flow to ensure that delivery of quality customer service to various
constituencies. The successful candidate must have the ability to balance numerous deadlines and shifting
priorities. They should enjoy working in a fast paced, "startup" culture environment. A sense of humor and
strong teamwork skills are encouraged. The PTBi-CA Program Coordinator will receive direction in the form of
objectives with goals from several PTBi-CA Program Directors. Essential responsibilities of this position may
include, but are not limited to the following duties:* Coordinate program planning and implementation of PTBi-
CA research studies and programs and collaborate with program/project/research staff* Provide program
coordination support by compiling information from multiple sources, tracking timelines and progress of action
plans and items, coordinating resources and materials and updating project databases* Perform
administrative duties such as processing payments and stipends, submitting IRBs, and processing
procurements* Prepare, edit and modify documents including research reports, manuscripts, presentations,
proposals and internal/external communications for PTBi-CA research studies and programs* Support various
forms of meeting coordination, event coordination, project calendar management, travel coordination and
reimbursements, and high level administrative support for several projects housed within the PTBi-CA aims,
including but not limited to Community Engagement, Communications, etc.* Interact with both internal and
external faculty and staff, as well as with stakeholders, consultants and community members in a wide range of
geographic locations and functions* Improve and develop technical and other systems, and interpreting,
monitoring and analyzing information regarding PTBi-CA policies and procedures as well as provide
recommendations* Provide direct support for management and distribution of information that may be
sensitive or confidential* Research and conduct analysis on complex topics and summarize data and best
practices in the field. Seek out information from a variety of sources from within and outside of the institution as
appropriate. Synthesize information into reports for the Program Director and other constituents as requested.*
Assist with researching and resolving issues that may arise related to administrative regulations using
sound judgement and independent problem-solving skills* Coordinate and facilitate special projects or
assignments related to ongoing internal and external PTBi-CA programs including Collaboratories, co-sponsored
events, Fellowship Program, RAP processes, working groups, trainings, workshops and more.

The salary range for this position is $55,700 - $90,000 (Annual Rate).

The Department of Obstetrics, Gynecology and Reproductive Sciences (Ob, Gyn & RS) is a major academic
Department in the School of Medicine, engaged in clinical, research and training activities at the Parnassus, Mt.
Zion and San Francisco General Hospital campuses, the Betty Irene Moore Women's Hospital at Mission Bay, as
well as satellite locations throughout the Bay Area, with an annual operating budget of $146 million. The
Department has 111 full-time faculty, 117 other academic appointees, 13 post-doctoral fellows, 20 clinical
fellows, 32 residents, 138 voluntary clinical faculty and 270 staff. The mission of the UCSF Department of Ob,

The UCSF California Preterm Birth Initiative (PTBi-CA) is a multi-year, transdisciplinary research effort to reduce
the burden of prematurity among those at highest risk for preterm birth-women of color and lower income
women. Recognizing the role of "place" as a strong determinant of health and wellbeing - including the risk of
preterm birth - PTBi-CA takes a place-based approach focusing our work in affected communities in San
Francisco, Oakland and Fresno. We bring together academic researchers from different disciplines, healthcare
providers, departments of public health, community-based organizations and other stakeholders to work in
partnership with affected communities. Most importantly, we partner with women with lived experience during
all phases of the research including developing and prioritizing the research agenda, enhancing study designs to
ensure cultural appropriateness and maximum impact, and ensuring dissemination of results to a broad audience
of stakeholders.
PTBi-CA is generously funded by Marc and Lynne Benioff.

Required Qualifications


  • Bachelor's degree in related area and / or equivalent experience / training
  • 2 years directly relevant experience in program coordination or equivalent combination of education and experience
  • Working knowledge of program/task management platforms and tools, and organization- wide communications and research-specific and other computer application programs including med-high level competence in the following tools and platforms such as Microsoft Office Suite, Qualtrics, ASANA, SLACK and Saleforce CRM, procurement and reference management software systems
  • Strong interpersonal and communication skills and social perceptiveness. Excellent verbal and written communication skills to effectively communicate with diverse populations with competing priorities
  • Proven ability to work on several tasks simultaneously. Skill at responding effectively to priorities and setting deadlines. Proficient in ability to multi-task with demanding timeframes
  • Proficient in ability to use discretion and maintain all confidentiality
  • Demonstrates ability to use sound judgment in responding to issues and concerns
  • Demonstrates ability to analyze, research and synthesize large amounts of data with strong attention to detail.

Preferred Qualifications


  • Experience in issues related to maternal and child health
  • Working knowledge of applicable policy analysis techniques
