Position Summary |
The Program Coordinator is the first point of contact with clients and assists the
UGA Extension faculty with program development and delivery, client management, and administration. The position provides administrative support for the office while effectively and simultaneously managing multiple projects, including, but not limited to, internal team meetings, client interactions, Extension proposals, short courses, etc.The Program Coordinator is also responsible for program deliverables, introductory meetings, and providing information about technical services and educational and training programs via telephone, email, or face-to-face. This position is responsible for the daily coordination of the Extension Food Science & Technology (
EFST) program activities.
Additionally, the position provides support to the
EFST Program's technical services, educational activities, planning and scheduling workshops, securing hotel rooms and food services on campus during training programs, requesting and managing supply and material orders, responding to inquiries related to
EFST workshops, on-site trainings, and technical services offered by
EFST.
The position will work directly with Extension specialists in developing workshop materials including but not limited to: advertisement, registration, website, brochures, participant notebooks, reference materials, media tools, and other supplemental materials as needed. This position provides administrative support to Extension faculty specialists for special problems, presentations, book chapters, publications, and bulletins.This position will also assist in coordinating public relations activities using media, websites, blogs, and other avenues for advertisements, client services, and programming offered by
EFST. |

- Proficient in Microsoft Office (including Word, PowerPoint, Excel, and Outlook) and Foxit.
- Prior experience with Microsoft Visio (flow chart software), TouchNet Marketplace, Survey Monkey (or similar survey software), Canvas, Adobe Contribute software for CAES websites, Canva, etc.

Program Management:
- Independently develop workshop materials, name tags and certificates, notebooks, and PowerPoint presentations for 12+ workshops (e.g., Starting New Food Business, HACCP food safety for meat and poultry, fresh produce, nuts, fresh-cut produce operations, and Better Process Control School for canned foods) annually, provided by FSTE.
- Independently analyzing reference materials for inclusion in the notebook, updating reference lists of appropriate scientific and regulatory guidelines, preparing notebook master for duplication, assembling the notebooks, preparing workshop facilities, and coordinating lodging and travel for speakers.
- Leading the initiative to digitalize EFS materials to develop online training programs.
- Preparing and updating PowerPoint presentations for EFS specialists for invited speaking engagements, Extension County Agents for invited speaking engagements, Extension County Agents training, customized in-house training programs for commodity-specific food processors, and FSTE workshops.
- Analyzing internal needs assessment data and design workshops around analysis. Developing and reporting on workshop impact.
- Managing finances for Food Science Extension using Touchnet Marketplace, Touchnet Business Office, and OneSource Financial Management Software. Touchnet Marketplace is used to post workshops and services for credit card payment and fulfill orders. Touchnet Business Office is used to submit both check and credit card deposits. OneSource Financial Management Software is used to process expense reports for reimbursements, payment requests for bills, and non-employee reimbursements.
- Manages business-related purchases for the educational program using a purchasing card. Manages accounts receivable and accounts payable for Food Science Extension and processing reimbursements.
- Maintains record of deposits and keeps an updated budget sheet for each account.
- Leads communications with FSTE clients and routes messages to faculty/staff as appropriate. Provides high-quality customer service by communicating basic introductory information about FSTE services and technical programs to new clients, greeting workshop attendees, and assisting them with registration, distributing workshop materials, notebooks, attendance sheets, name tags, pre- and post-exams, and evaluations.
- Producing and maintaining a database of co-packers, shared kitchens, Kitchen incubators, and other useful resources for food entrepreneurs and the food processing industry on the local, regional, and national levels.

- Managing points of contact for EFS services, including providing technical support for clients about regulations and programs for the FDA, USDA, and Georgia Department of Agriculture by answering questions and providing information on regulatory requirements.
- Communicate scheduling and provide support to faculty regarding course verification, registration, & technical issues.
- Provide FSTE services to food entrepreneurs.
- Developing and distributing workshop registration communications to sponsoring organizations through email communications.
- Developing and administering evaluation forms for workshop participants to score the content and delivery of speaker presentations.

- Scheduling and maintaining a master list of all training and technical programs/services offered by FSTE and other events in consultation with FSTE faculty and staff.
- Producing targeted promotional materials for workshops and training programs as appropriate.
- As needed, provide computer support, troubleshooting, and videoconferencing equipment setup for the FSTE group and the Food Science & Technology department.
- Perform various administrative duties, including collection of data; maintaining documentation files; writing and formatting a variety of correspondence, reports, procedures, and presentations related to the FSTE training program; and developing outreach materials, including newsletters, brochures, university website, and social media pages.
